Standard tenant turnover operating procedure
We've developed a standardized 6-step turnover process that takes 30-45 minutes per unit and produces a documented chain of custody. (1) Notice + scheduling: property manager submits turnover request via our portal or email at least 24 hours before move-in. (2) Pre-arrival verification: technician confirms unit is vacant on arrival; if not, we reschedule and charge a $30 trip fee. (3) Rekey execution: each cylinder removed, repinned to a new code, reinstalled. Smart lock units: factory reset + new admin code provisioned. (4) Testing: every key tested in every cylinder, including deadbolt, knob, and auxiliary locks (mailbox, garage entry). (5) Key handoff: new keys placed per property manager preference (lockbox, manager office, new tenant direct). Old keys returned or shredded per protocol. (6) Documentation: within 4 hours, property manager receives email confirmation with date, unit address, cylinders rekeyed, key codes (encrypted), tech ID, and digital signature.
Eviction lockout protocol — Colorado law compliance
Eviction lockouts are subject to Colorado Revised Statutes (specifically CRS § 13-40-122) and Fort Collins municipal code. We do NOT change locks on a unit unless: (1) the property manager provides a court-issued writ of restitution OR a recent (within 48 hours) deputy sheriff service receipt confirming the eviction is completed; (2) the unit is verified vacant by the property manager AND a sheriff's deputy or licensed process server before our arrival; (3) tenant belongings have been removed or storage protocols (per Colorado law) are in place. We do not lock tenants out without a court order, period. This protects both the property manager and us from wrongful eviction lawsuits, which can run $5,000-$50,000 in damages in Colorado.
